Three-Level Organization Hierarchy

Organizations

The top level of organization. Organizations can be private (personal workspace) or shared (teams, departments, clients). Each user has a private organization automatically created, and can join or create additional shared organizations.

Projects

Projects belong to organizations and group related forms together. Think of projects as containers for forms that serve a specific purpose, client, or initiative. Each project can contain multiple forms and folders.

  • • Organize forms by department or team
  • • Separate active projects from archived work
  • • Track forms by initiative or campaign

Folders

Folders exist within projects and support nested structures (folders within folders). Use folders to further organize forms by type, date, category, or any other classification. Files can be in folders or at the project root level.

  • • Group related forms together
  • • Create subcategories within a project

Private Organizations: Your Personal Workspace

Every FileThis.io user automatically gets a private organization upon registration. This is your personal workspace where you can create projects and forms without sharing them with others. Your private organization is perfect for:

  • Personal forms and documents
  • Testing and experimentation before sharing
  • Solo contractor or freelancer work
  • Forms that don't need team collaboration

Shared Organizations: Team Collaboration

Create or join shared organizations to collaborate with team members, manage client forms, or organize department-wide forms. Shared organizations support multiple members with role-based access control.

Team Organizations

Create organizations for your team or department. All members can access and collaborate on forms within the organization.

Perfect for: Departments, teams, internal company forms, collaborative projects

Client Organizations

Create separate organizations for each client. Keep client forms isolated and organized, with access limited to team members who work with that client.

Nested Folders

Create folders within folders to build deep organizational hierarchies. This allows for sophisticated categorization like "2024 > Q1 > Contracts > Client A" or "HR > Onboarding > 2024 > Forms".

No limit on nesting depth—organize as deeply as needed for your workflow.

Drag-and-Drop Organization

Organize files and folders easily with drag-and-drop. Move files between folders, reorganize folder structures, and move folders into other folders—all with simple drag-and-drop actions.

Multi-select support lets you move multiple files at once for efficient organization.

Root-Level Files

Files don't have to be in folders. Keep files at the project root level when they don't need categorization, or when you're organizing on the fly. Move files into folders later as your organization structure evolves.

Visual Folder Tree

Navigate your folder structure with an intuitive tree view. Expand and collapse folders to focus on specific areas, and see all your forms organized visually.

The tree view remembers which folders you had expanded, making navigation faster on return visits.
